Privacy Notice
This Privacy Notice explains how personal data of participants in the Game Jam Vietnam 2026 contest (the "Contest") is processed by Lion Studios, LLC ("Lion") as data controller, and by GameGeek (the "Operator") as data processor acting solely on Lion's documented instructions. By registering for the Contest, you confirm that you have read and understood this notice.
Who is Responsible for Your Data
Data Controller: Lion Studios, LLC, 1521 Concord Pike Suite 201, Wilmington, DE 19803, USA. Lion decides the purposes and means of processing personal data in connection with the Contest.
Data Processor: GameGeek (the Operator) acts as data processor on Lion's behalf. GameGeek operates the registration platform, supports participant communications and performs eligibility review based on criteria defined by Lion. GameGeek processes personal data solely on Lion's documented instructions, under a data processing agreement between Lion and GameGeek.

1. Personal Information We Collect
Lion Studios collects the following categories of personal information from participants:
a. Registration and Identity Information
- Full name
- Email address
- Contact details
- Team name and individual team member details (where applicable)
- Confirmation of age (18 years or older) for the team leader and all team members
- Role in the team and confirmation of authorization to represent the team
b. Contest Participation Information
- Prototype submissions, including source code, build files, assets, and accompanying materials
- Information provided in connection with Testing (e.g. gameplay footage, creatives, and other materials requested by Lion)
- Communications with Lion during the Contest
c. Publicity and Media
- Name, logo, brand, trademarks, and likeness, for use in connection with the promotion of the Contest and future similar initiatives
d. Financial Information
- Tax-related information and documentation required for Prize payments (e.g. tax identification numbers, banking details for payment processing). This information is collected only from selected winners after the announcement of the Contest results
e. Technical and Usage Data
- Technical information collected automatically when interacting with Lion's platforms, systems, or networks
- Access logs if the participant is granted access to Lion's systems
2. How We Use Personal Information
Lion Studios uses the collected personal information for the following purposes:
a. Contest Organisation and Administration
- Processing registrations and verifying eligibility
- Managing communications with participants throughout the Contest
- Evaluating and selecting Prototypes for Testing and Prizes
- Administering and overseeing market Testing of selected Prototypes
- Announcing Contest results and coordinating the Gala Event (13 August 2026, Hanoi)
b. Prize Administration
- Verifying winner eligibility
- Processing and disbursing cash Prize payments within 60 days following the Gala Event
- Complying with applicable tax and reporting obligations, including withholding where required by law
c. Legal and Compliance Purposes
- Fulfilling legal, regulatory, or contractual obligations
- Enforcing the Terms and Conditions
- Protecting Lion's rights, property, and the integrity of the Contest
- Disclosing information to official authorities where legally required
d. Promotion and Marketing
- Promoting the Contest and future similar initiatives organised by Lion or its Group, using participant names, logos, brands, and likenesses. The use of participant names, brands and likeness for these promotional purposes is set out in the Contest Terms and Conditions
e. Intellectual Property and Product Development
- Evaluating, testing, and analysing submitted Prototypes and Submission Materials for the purposes of the Contest and Lion's internal business purposes
- Using Submission Materials in connection with the development of games, products, or services, as permitted under the licence granted in the Terms and Conditions
3. Sharing of Personal Information
Lion Studios does not sell personal information. Personal information may be shared in the following circumstances:
- With GameGeek, acting as data processor on Lion's behalf, for operation of the registration platform, eligibility review and Gala logistics
- With members of Lion's Group (parents, affiliates, subsidiaries, and their designees, including third-party development partners and contractors), for purposes connected with the Contest
- With third-party service providers involved in the organisation or administration of the Contest (e.g. cloud storage providers, such as Google for Google Drive used by Lion to store submissions)
- With official authorities, where required by applicable law
- In connection with any business transfer, merger, or restructuring of Lion Studios, where the receiving party assumes equivalent obligations
Cross-Border Data Transfer
Personal data collected through the registration platform is stored on Google Drive infrastructure managed by Lion outside Vietnam (United States and other countries where Google operates). This constitutes a cross-border transfer of personal data of Vietnamese citizens within the meaning of Vietnam's Personal Data Protection Law (Law No. 91/2025/QH15) and Decree 356/2025/ND-CP.
The transfer is carried out in accordance with the applicable cross-border data transfer requirements under the PDPL, including the preparation and submission of the relevant transfer impact assessment to the Ministry of Public Security.
Legal Bases for Processing
Lion processes personal data on the following legal bases under the PDPL:
- (a) performance of the participation arrangement with the participant, for registration, communications, prototype evaluation, prize administration and related activities;
- (b) compliance with legal obligations, in particular tax and reporting obligations connected to Prize payments;
- (c) legitimate interests of Lion, for evaluation of prototypes and protection of the integrity of the Contest; and
- (d) consent, for marketing communications, use of likeness in promotional materials and any other processing specifically based on consent.
Retention Periods
Personal data of participants who are not selected for the Gala Event is retained until 30 days after the announcement of Contest results. Personal data of finalists and winners is retained for the duration of the contracting and prize administration process, and thereafter as required by applicable law (in particular tax and accounting). Marketing communications data is retained until consent is withdrawn. Image and likeness used in already-published promotional materials may be retained on a legitimate-interest basis after consent withdrawal.
4. Participant Rights
In accordance with applicable data protection legislation, participants may request:
- Access to the personal data held about them
- Rectification of inaccurate personal data
- Deletion of their personal data, for legitimate reasons
- Be informed about how their personal data is processed
- Restriction of processing
- Objection to processing
- Withdrawal of consent at any time, where processing is based on consent
- Lodge a complaint with the Ministry of Public Security of Vietnam
